Job Summary

We are seeking an organized and proactive HR Officer to perform a variety of personnel-related administrative tasks. The HR Officer will support the HR department in duties such as posting job ads, updating the HR database, processing employee requests, and recording expenditures. This role is essential in maintaining efficient HR operations and ensuring a positive employee experience.


Duties & Responsibilities

·       Employee Records: Maintain employee records (both soft and hard copies).

·       Recruitment Documentation: Ensure the preparation of staff recruitment documents and contracts.

·       Record Keeping: Maintain the filing system for HR documents.

·       HR Policies: Prepare paperwork for HR policies and procedures.

·       Employee Requests: Process employees’ requests and provide relevant information.

·       Project Coordination: Coordinate HR projects, meetings, and training seminars.

·       Job Posting: Collaborate with the Recruiter to post job ads on career pages and process incoming resumes.

·       Telephone Management: Manage the department’s telephone center and address queries accordingly.

·       Reporting: Prepare reports and presentations for internal communications.

·       Orientation: Provide orientations for new employees by sharing onboarding packages and explaining company policies.

·       Document Processing: Process requisitions and other documents from branches.

·       HR Database Management: Manage and update HR databases with information such as new hires, terminations, sick leaves, warnings, vacations, and days off.

·       Schedule Management: Maintain schedules and coordinate calendar activities.

·       Senior Management Reports: Create reports for senior management.

·       Expense Documentation: Prepare and file expense supporting documents.

·       Statement of Expense: Prepare (SOE) Statement of Expense.

·       Document Verification: Check and verify supporting documents that are properly recorded.

·       Purchase Documentation: Prepare purchase documents (Purchase Requests, Checks, Quotations, Invoices, and Goods Received Notes).

·       Monthly Expense Coordination: Coordinate with branches to collect the Monthly Expense Report and supporting documents.

·       Monthly Reporting: Prepare the Monthly Expense Report and share it with the Finance Department.

·       Additional Tasks: Perform any other tasks or assignments as provided by the line manager.


Job Requirements

·       Education: Minimum of a degree in Business Administration, Human Resource Management, or a related field.

·       Experience: Minimum of 2 years’ experience in HR or a related field.

·       Computer Skills: Proficient in MS Excel, Word, PowerPoint, digital payment systems, and Outlook.

·       Administrative Experience: Proven work experience as an HR administrative assistant.

·       PC Literacy: Strong PC literacy and experience with MS Office applications.

·       Labor Legislation Knowledge: Familiarity with labor legislation.

·       Organizational Skills: Excellent organizational and time-management skills.

·       Self-Motivated: Self-motivated, flexible, and able to work with minimal supervision.

·       Team Player: Ability to work collaboratively as part of a team.

·       Interpersonal Skills: Great interpersonal and communication skills.

·       Regulatory Familiarity: Familiarity with industry rules and regulations.
