Job Summary

The Receptionist serves as the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role ensures smooth front-desk operations by managing communications, scheduling, and basic office tasks.

Duties & Responsibilities

  • Visitor Reception: Greet and welcome visitors in a professional and friendly manner.
  • Call Management: Answer, screen, and forward phone calls promptly.
  • Front Desk Operations: Manage front desk operations, including handling incoming and outgoing correspondence.
  • Visitor Log Maintenance: Maintain visitor logbooks and issue visitor passes when required.
  • Appointment Scheduling: Schedule and manage appointments, meetings, and conference room bookings.
  • Information Provision: Provide information to clients and staff regarding company services and procedures.
  • Administrative Support: Assist with administrative tasks such as filing, data entry, and record-keeping.
  • Reception Area Management: Ensure reception and waiting areas are clean, organized, and presentable.
  • Inquiry Handling: Handle inquiries and direct visitors to the appropriate person or department.
  • Clerical Support: Support other office staff with clerical duties as assigned.

Job Requirements

  • Education: High school diploma or equivalent; additional certifications in Office Management or related fields are a plus.
  • Experience: Proven work experience as a receptionist, front desk representative, or similar role.
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook).
  • Communication Skills: Strong verbal and written communication skills.
  • Interpersonal Skills: Excellent interpersonal and customer service skills.
  • Professionalism: Professional appearance and attitude.
  • Multitasking Ability: Ability to multitask and manage time effectively.
  • Attention to Detail: Strong attention to detail and organizational skills.

Working Conditions

  • Office-based role, requiring sitting for extended periods.
  • May require working evenings or weekends depending on company needs.
