Job Description: Administration Manager


Job Summary

The Administration Manager is responsible for overseeing the daily operations of the hospital’s administrative functions. This role ensures efficient resource management, regulatory compliance, and smooth coordination between various departments, contributing to optimal patient care delivery and staff performance.


Duties & Responsibilities

Administrative Oversight:

  • Supervise non-clinical staff, including reception, billing, HR, housekeeping, and security.
  • Ensure the smooth functioning of hospital support services (maintenance, transport, etc.).
  • Monitor procurement and inventory of administrative supplies.

Facility Management:

  • Oversee the maintenance of hospital infrastructure and equipment.
  • Ensure cleanliness, safety, and compliance with health standards.

Human Resource Coordination:

  • Coordinate recruitment, training, and evaluation of administrative staff.
  • Manage staff rosters, attendance, and leave schedules.

Financial & Budgetary Support:

  • Assist in preparing and monitoring departmental budgets.
  • Coordinate with finance for billing, insurance, and vendor payments.

Compliance & Documentation:

  • Ensure adherence to health and safety regulations, hospital policies, and accreditation standards (e.g., NABH, JCI).
  • Maintain and manage proper records and documentation as per healthcare laws.

Communication & Coordination:

  • Act as a liaison between administrative departments and clinical teams.
  • Address patient and staff concerns regarding hospital services.

Job Requirements

Education:

  • Bachelor’s or Master’s degree in Administration, Business Administration, or a related field.

Experience:

  • Minimum 5–8 years of experience in hospital or healthcare administration.

Skills:

  • Strong leadership, interpersonal, and organizational skills.
  • Excellent knowledge of healthcare regulations and standards.
  • Proficiency in hospital management software (e.g., HIS, ERP systems).
  • Ability to handle high-pressure situations and resolve conflicts effectively.

Preferred Attributes:

  • Certification in Hospital Administration or Healthcare Management.
  • Experience with hospital accreditation processes.
  • Knowledge of local health laws and labor regulations.
